Who cares whether or not you are a writer? Yes, there are gazillions of writers out there and practically all of them are aspiring to make it big in the writing industry. You can’t simply tag yourself as a writer if you don’t act like one. For starters, have you tried using a writing journal? Simply put, it’s a diary. It holds you accountable for documenting your writing activities on a day to day basis.

I began using a writing journal to discipline myself for the sake of consistency and to produce some form of writing on a daily basis. It’s very easy to get complacent when trying to either find the “time” to write or just to simply sit down and write. As I looked at bylines that listed the number of articles, poems, books, etc., that many authors wrote, I first concluded that they apparently had a very close connection to someone in the writing industry. That thought was probable, but on the other hand I realized that these writers and authors quite possibly were dedicated, persistent and consistent, which were some missing elements from my daily writing routine. The only person who could change that, was not my mentor or a friend, but me.

Creating a writing journal is not difficult. Here are some primary reasons why you should have one, especially if you are a novice writer:

You don’t need a writing journal that’s too complicated or expensive. Keep it simple. As a matter of fact, get a blank monthly calendar that you can write on each day. This is an inexpensive way to keep a diary for any form of writing that you do, or to make notations regarding submissions that you send out. Jot down a brief description on your calendar of daily writing activities (ie. emailed article to Pop’s Literary Magazine or wrote 300 words for my novel).

Post your writing journal in a visible location where you can “see” your daily progress and honestly evaluate whether or not you are making a concentrated effort to improve your craft. When I began my writing journal, I was gun-ho and inspired. I reviewed my calendar at the end of each month to evaluate my productivity. Where I saw blank days, I had to ask myself why didn’t I write something? What happened on that day that kept me from writing? The blank squares on my monthly calendar began to bother me and each month I would vow to eliminate so many blank days of not writing “anything” towards achieving my long term publishing goals. Although the blanks disappointed me, it rejuvenated me at the same time.

I realized that the big difference between writers with many published credits and me, was their tenacity to do something I didn’t do. They remained dedicated to perfecting their craft. We must be mindful that eventhough many of us have full time jobs, we should not allow laxness to infiltrate our writing endeavors. So if you think that a writing journal is a waste of time, unless you are disciplined, dedicated and can retire from your writing income, think again. A successful writer, as with any profession, cannot afford to baby-sit excuses. If you need a helpmate to make you stay focused, then try using a daily writing journal with a good positive attitude. This can keep you focused and prevent you from assassinating your writing career before it gets started.

Encounters with peer responses should have begun as early as freshmen year in high school English. While everyone in class did their best to be nice to each other. No one wanted their feelings hurt much less be guilty of hurting another classmate. Thus, after most peer responses was over, everyone went home to type their paper with the revisions given. The revisions most commonly given were of the most inane matter, such as “comma here, period there, capitalize here, paragraph there”. However, what everyone ended up was a juvenile piece of mish mash. In the effort to spare the author’s ego and confrontation, no real contributions were made except for common grammar structures.

If only someone had the fortitude and a tactful hand when critiquing, he or she would have been able to save their fellow writer. Alas we succumbed to the awkwardness of early adolescence and the English class went down on their paper ship.

Believing and Doubting is an easy way to solidify an author’s stance on any given subject. The first step in Believing and Doubting is to believe. Responders’ must believe that everything the writer has written is inherently true. As a responder, you are requited to put aside your own personal contentions with what is written during the believing process. The whole purpose to believing is to make what is strong even stronger.

To do this, one will have to be able to provide any additional relevant supporting arguments that would augment the writer’s position. It’s a way to get readers to give you new ideas and arguments and to improve your piece in all sorts of ways. A responder’s job is to patch any holes, reinforce main ideas, and make everything seem as air tight as possible. So it is imperative to choose a responder that is knowledgeable about the topic that you have written. After this step is done, take a break. A responder’s mind will now be exhausted of any new ideas.

Writing competency has many students from high school through college up in arms. Irregardless of how many papers an author may have written, he or she often times experience pangs of dread running through their body. Thankfully, Elbow and Belanoff have provided you, the writer, with a number of tools to help your jumbled piece of gibberish read like the coherent, succinct, and masterful piece of writing that you had intended it to be.

Before the final product, everything must start from scratch. Therefore, before you can stream line ideas, you must create them first. Free Writing is a method of thought invention and is the initial step to the creation of the paper; it is something out of nothing. Two response methods from Sharing and Responding, Summary and Sayback and Believing and Doubting, are two of the most constructive methods of help that an author could receive from any person. The method of Believing and Doubting helps to remove any pointless elements while at the same time bolstering whatever is vital to the structure of what you have written.

The last mode of response is Summary and Sayback. It is the assessment of what you have written to ensure that the point you have intended to get across is exactly what was written down. If your reader echoes your intentions, you know your writing is ready. These methods of Believing and Doubting, Summary and Sayback, and Free Writing are all complements of each other and are most effective when used in conjunction with each other.

Every time someone asks me what I did with a client’s file or how to find the invoices in my records, I want to scream at them, “I’m a writer! Not a business executive!”

But the fact is that writers must be business savvy as well because writing is a business. Unless you’re the beneficiary of an enormous trust fund, you probably write to make a profit, and whether you are a ghostwriter, a copywriter, a novelist or a freelancer, you have to keep things straight if you want to make a living writing for other people.

::Computer Files

For most writers, their computer is the altar at which they worship, and if you’ve ever had a computer crash, then you know our pain. If you are unable to effectively manage your computer files, you will lose work and invoke the anger of clients or editors.

My computer files are organized by the names of my clients. Each client has their own individual folder into which I put all documents pertaining to their work. Within those files are subfolders such as Drafts, Invoices, Correspondence, and the like so that I can easily find things when I need them.

I also have a folder on my computer for documents pertaining to my business at large. The templates for my invoices, contracts and receipts are there, as well as copies of my newsletters, articles and e-books. For the first few years that I worked as a ghostwriter, I simply saved random documents to my hard drive, not bothering to organize.

Take it from me, a seasoned veteran: if you aren’t organized, you will fail.

::Hard Copy Files

No matter how much you love your computer, you should always keep hard copies of every document that crosses your desk. Even items that I receive as hard copies and later scan into my computer folders get filed away in my filing cabinet for future reference.
But it’s the technology age, you argue emphatically.

You won’t feel that way when a virus takes over your hard drive and you lose all of the information that you worked so hard to create. Or, even worse, you lose a signed contract that could cost you thousands of dollars.

I recommend setting up a reliable filing system in your office, with extra file folders for future use. Label each folder clearly and place them all in alphabetical order, and make sure to file documents every day so you don’t lose track.

I have two filing cabinets: one is for my personal use (taxes, receipts, insurance information, etc.) while the other is used exclusively for my work. Each of my clients gets a file folder here, as well, and I have extra folders for copies of documents as well as bank information and cancelled checks.

I am the queen of allowing paperwork to build up on my desk trays, leaning to one side and crinkled on the edges, so I won’t preach to you here. However, I will say that it is much better to spend time every day or every couple of days on your filing than to wait until a month’s worth of paperwork is awaiting your attention.

::Collecting Money

It doesn’t matter what kind of writing you do, there may come a time when you have trouble collecting money you are owed. This is perhaps the worst part of the business side of writing, especially if you have trouble asking for money.

Make sure that you have a clause in your contract that penalizes clients for non-payment. It is important to give your clients some leeway – if they are a few weeks behind on several thousand dollars, you’ll retain their business if you give them an opportunity to pay. However, if several months have passed on a $200.00 bill, it is time to take action.

Use litigation as a last resort for collection of money owed to you. First, make sure that you have contacted your client and requested payment both on the phone and in writing. If that doesn’t work, hire an attorney or a collection agency to send a letter or to phone them requesting payment. Your final step should be small claims or civil court.

To avoid this scenario in the first place, I recommend charging an up-front fee for your services. Unless you are writing “on spec” for a magazine or newspaper, you shouldn’t have any problem charging a 10-30% fee up front, and charging the rest at regular intervals until the project is finished.

::Taxes

One of the most difficult aspects of the business side of writing is taxes, which you will have to handle yourself. A freelance or self-employed writer doesn’t have taxes taken out of paychecks, but as to pay taxes quarterly or at the end of every year.

My advice is to set up a savings account into which 20% of all your earnings is placed every month. That way, when tax time rolls around, you’ll have all of the money you need to pay back the government.

Further, save your receipts. Dinners with clients, rent payments (for your office only), Internet access, office supplies, automobile payments and more can be deducted from your final taxes owed. Just make sure that you save all receipts.

::Professionalism

All writers who make a living through the pen (or the computer keyboard, as the case may be) must always project an air of professionalism. This means having a businesslike message on your voice mail or answering machine; business cards to hand out to people you meet; business letterhead for professional correspondence; and the punctual return of messages left from clients.

All of these things make up the business side of writing, but please remember that you will learn as you go along. Much of writing is about trial and error, and if you make a mistake, you’ll have learned for the future. Don’t fret if you think you’ve handled a situation badly, or if you worry that you haven’t met all of your obligations. It will come to you as you go, and you just have to have faith that it will all work out.
